A busy fashion office in the heart of Central London is looking to appoint a new Office Admin Assistant to their team.
The business is a major brand licensing business, which works with many well-known brands across the industry, where they design, develop and manufacture product under that brands label.
You will be a people person, who loves to welcome visitors to the office, as well as be that central support across Head Office. The role requires a good level of organisation, as you will be working across multiple tasks.
Office Admin Assistant- The Role:
- General Reception Duties – Manning the reception desk (5 days pw)
- Welcome visitors upon arrival with a warm and professional demeanour.
- Notify appropriate staff members of visitor arrivals.
- Receive, sort, and inform staff of deliveries and arrivals.
- Coordinate with courier services for inbound and outgoing packages.
- Manage and coordinate meeting room bookings.
- Schedule appointments and meetings for senior management as required.
- Assisting directors with schedules and admin tasks.
- Provide administrative assistance to various departments when needed, such as preparing documents, spreadsheets, and presentations.
- Assist with data entry, filing, and maintaining office records.
- Monitor and maintain office supplies, placing orders when necessary.
- Ensure that communal areas such as the kitchen and supply rooms are well-stocked, clean and organised.
- Oversee the maintenance and repair of office equipment, coordinating with service providers when needed.
- Ensure that all office equipment, such as printers and copiers, are in good working order.
- Assist with preparations for client meetings, presentations, and events in the showrooms.
- Assist the design and production team with administrative tasks, such as scheduling fittings and meetings.
- Assist with organising internal events, such as team meetings, workshops, and corporate functions.
- Assist in organising and coordinating company events, including product launches, fashion shows, and employee functions.
- Manage RSVPs, catering, and logistics for events.
- Ensure compliance with health and safety regulations in the reception area and throughout the office.
Office Admin Assistant- The Person:
- Self-motivated, able to manage own workload and be a team player.
- Competent IT skills - Outlook, Excel, Word, PowerPoint.
